General catering policies
It is the responsibility of the client to ensure
that any special room setups and facilities needs are made prior to your
event. (Extra trash cans, staging, buffet tables, etc.). Catering is not
responsible for setting up tables and chairs, or forwarding setup
information along to other parties.
Catering requires that a good estimated count be
provided for your event attendance seven business days prior to your event.
A guaranteed count is required three business days prior to your event. The
guaranteed count will be the minimum amount served and billed. If no
guaranteed count is received on time, the estimate will become the
default guarantee. Should the actual count exceed the guaranteed count,
the actual attendance will be billed.
Client is responsible for all rental and misc.
charges incurred by Sodexho above and beyond their in-house resources.
Cancellations with less than three days notice will be
charged for all costs incurred for that event, but not greater than the
cost of the actual event. Client must contact Sodexho directly to cancel
any food service arrangements.
Events booked with less than three days notice will be
billed a $25 late fee. This is to compensate for the time taken to
change schedules and order product. All late
bookings must obtain the approval of the Catering
Manager.
Events that occur on State or Federal holidays, or
begin outside of normal business hours are subject to 10% surcharge.
(Normal business hours: 7:00 a.m. – 9:00 p.m., Monday – Saturday, 8:00
a.m. – 8 p.m. Sundays)
Client is responsible for the cost of any requested
extra seating above their guaranteed count.
Sodexho is not responsible for the quality of food
should the client delay the agreed to serve time.
There will be a ½ hour grace period for events that
run past their contracted end time. Events running later will be subject
to additional labor charges, $12.00 per hour, per catering staff.
Sodexho is not responsible for damage or loss of
equipment or property belonging to the client or their guests.
Client agrees to be responsible for the conduct of
their event and any damages done to Sodexho equipment caused by the
patron, their guests, or independent contractors hired by the client.
Sodexho will not be held liable for failure to carry
out arrangements that are beyond our control due to acts of God and
industrial disputes.
Inclement weather policy
There are occasions during the winter months where
our weather becomes severe enough that Saint Martin’s University may
close for various reasons. The Worthington Conference Center follows its
own inclement weather policies, and will only close in the most severe
cases, a decision made by its director.
For catered events, clients must decide 24 hours in
advance as to whether or not they will hold their event when faced with
inclement weather. If we are not contacted within 24 hours of the event,
the catering department will assume that the event is still taking place
and begin food and set up preparations.
Once we have passed this 24 hour time deadline, any
event cancellations will be charged incurred costs up to, but not to be
greater than the total event cost. Each event will be looked at on a
case by case basis.
If a cancellation is made prior to the 24 hour
deadline, the client will not be charged for any costs.
This 24 hour window is only for determining whether
the event will be hosted or cancelled. Count adjustments for the events
will not be accepted.
